STEP 1. ORGANIZE YOUR LAND SURVEYING OFFICE:
A cluttered workplace along with misplaced files and data contributes to the high cost of not finding information. According to KMWorld.com Studies by IDC, as well as organizations such as the Working Council of CIOs, AIIM, the Ford Motor Company and Reuters have found that: “knowledge workers spend from 15% to 35% of their time searching for information”. To improve the productivity and profitability of your professional land surveying company, use the following three steps to clean and organize you land surveying office: starting with your desk.
Put away all the survey project files on your desk (and on the floor around your desk) filing them appropriately. That way if you and your coworkers need them, then you will know right where to find them; instead of rummaging through your office trying to find where your survey project files are (is it in the filing cabinets, is it in my office, is it on someone else’s desk or is it in the field survey vehicle?).
Go through all the miscellaneous papers and magazines cluttering your workspace and organize them into three piles. In pile one, place all project and business related papers, noting the project number, client, or other relevant identification on the upper right hand corner. Now either file each item appropriately, or even better, delegate this task and free-up some of your valuable, and let’s not forget –billable, time. In pile two, place anything you are unsure of where it belongs or requires further investigation as to if you should keep it at all. This pile can be put aside for another time to evaluate its’ contents. The third pile, which could be your trash can or recycle bin is for everything that you don’t need and can be thrown out.
One word of advice, this is not the time for trips down memory lane and investigating everything you come across; simply divide and conquer.
Now that you can find your desk, and the surrounding floor (maybe it’s just me with this problem?), take this opportunity to clean all of your work surfaces and improve the look of your office. This alone, will give you a mental uplift and edge over your competitors because your office will be neat, organized and clean.
Finally, because everything is now put away and clean, you will be able to lay your hands on your important papers and files more quickly, saving yourself a lot of time for more important work. Furthermore, your office, and you, will have a professional appearance and atmosphere-which your clients, and potential clients, and co-workers will appreciate.
